This policy explains what personal data Fieldnote collects, why we collect it, and the choices you have. It covers visitors to this website, the people we work with at client organisations, and the participants who take part in our research.

Who we are

Fieldnote is a qualitative research agency. For the purposes of data protection law, Fieldnote is the controller of the personal data described in this policy, except where we run research on behalf of a client — in that case the client is the controller and we act as their processor under a written agreement.

What we collect

• Contact details you send us through forms or email: name, company, role, email address and phone number.
• Research data from participants who agree to take part in a study: screening answers, recordings, notes and transcripts. We only collect what the study needs, and we tell participants exactly what that is before they consent.
• Website usage data: pages visited, device and browser information, and approximate location, collected through cookies once you have given consent.

How we use it

• To answer enquiries and deliver the services you have asked for.
• To recruit participants and run research they have consented to.
• To understand how this website is used and improve it.
• To meet our legal, tax and accounting obligations.

We never sell personal data, and research recordings are never used for marketing.

Cookies

Who we share it with

We share personal data only with trusted providers who help us run our business — hosting, email, transcription and participant incentives — and only under contracts that require them to protect it. Research findings delivered to clients are anonymised unless a participant has explicitly agreed otherwise.

How long we keep it

Enquiry and client data is kept for as long as we have a working relationship and for the period the law requires afterwards. Research recordings and transcripts are deleted or anonymised once the project closes, within the timeframe agreed with the participant.

Your rights

You can ask us to access, correct, delete or export your personal data, to restrict or object to how we use it, or to withdraw your consent at any time. You also have the right to complain to your local data protection authority.
